What is a wholesale CRM?
A wholesale CRM is a system for managing relationships with the retailers that buy your products. Instead of treating a buyer as an isolated email address, it connects the store, contact person, previous orders and next action. For a brand selling to independent retailers, that context helps the sales team prepare a useful conversation.
SHOWROOM4K focuses on existing buyer accounts and the wholesale sales workflow. It is not a purchased lead database, a real-estate wholesaling CRM or an automated cold-email service. Your catalog, customer relationships and submitted orders belong to the same brand workspace.
Open the account and see what matters.
The Sales Command Center shows the store and buyer contact alongside the most recent order date, order count and recorded order value. Search by store, buyer, email or representative to find the relationship you need. Accounts without an order are shown separately from accounts with an order history.
A Contact buyer action opens an email draft in your email application. It does not send an email in the background. After the conversation, record the contact and save a specific follow-up with a date and notes.
| Account detail | Question it answers | Useful next action |
|---|---|---|
| Store and buyer email | Who am I speaking with? | Check that the contact still handles purchasing. |
| Last order date | How long has it been? | Ask about stock and sell-through before suggesting another order. |
| Order history | What has this account bought? | Review styles and quantities before building a selection. |
| Follow-up date and notes | What did we agree to do? | Complete the promised action and record the next step. |
Make the next step specific enough to finish.
“Check in” is easy to postpone. “Send the buyer six giftable items for their November delivery” gives the account owner a clear task. Save the next step, due date and context in the account rather than relying on a message the rest of the team cannot find.
The Needs follow-up view surfaces due tasks and accounts that may need attention. A long gap since the last order is a prompt to investigate, not proof that a retailer needs stock. Ask what sold, what remains on hand and what delivery the buyer is planning.
- Before contact: review the last order and open follow-up.
- During contact: confirm the buyer’s current need and timing.
- After contact: mark the contact, save the promised action and set its date.
- When finished: mark the task complete so it does not stay on the to-do list.
Separate overdue follow-ups from unpaid orders.
A late sales task and a past-due invoice are different problems. The Sales Command Center organizes account conversations; the order center keeps the order, payment and shipping records available for review. Check the payment arrangement and actual due date before describing an account as past due.
Recording a payment status does not collect funds, and saving a follow-up does not automatically chase an invoice. Your team decides what to send and confirms what has been paid. If you need an accounting connection, automated collections or credit controls, bring those requirements to the demo for a compatibility review.
Connect the conversation to the collection.
When a buyer needs a focused assortment, create a presentation from your catalog and share the relevant collection. Buyers can browse products and submit an order through the connected wholesale experience. Your team can return to the saved order instead of rebuilding the sale from a series of messages.
The buyer-account workflow supports the rest of the platform: a branded wholesale website, product catalog, presentations, sales representatives and order management. You do not need to replace every existing tool at once. Start with one collection and a small group of accounts, then check the handoff with your sales and operations team.
Test your own workflow before changing systems.
Bring a sample retailer, a previous order and one unfinished follow-up to your demo. Ask the person who will use the dashboard to locate the account, find its last order, prepare a contact and save a dated task. A useful CRM should make those everyday actions straightforward.
Brand Pro is $100 per month for one brand workspace and its wholesale website. Invited representatives and buyers do not need a separate paid seat. Confirm any data migration or outside-system integration before relying on it.
Demonstration screens use sample data. SHOWROOM4K does not guarantee buyer responses, repeat orders or sales results.
Common questions
Is this for product brands or real-estate wholesalers?
Product brands selling collections to retail buyers. The account, catalog, presentation and order workflows are built around wholesale merchandise.
Does Contact buyer send an email automatically?
No. It opens a draft in your email application so you can review and send it. Marking an account contacted is a separate recordkeeping action.
Can my reps keep a dated follow-up for a buyer?
Yes. Account follow-ups have a next-step title, date, notes and completion state within the brand workspace.
Does SHOWROOM4K replace my accounting software?
Not by default. Payment statuses and order history help operations, but accounting synchronization and automated collection need a separate requirements review.
