What belongs on a wholesale line sheet?

A line sheet helps a retailer decide what to buy and how to order it. Attractive photographs matter, but each image needs the buying details beside it. Give the buyer a recognizable style number, a wholesale price with currency, available variants, minimums and a delivery window.

Start with a focused assortment rather than every product you have ever made. One collection or a clear delivery group is easier to review. Use your own approved product photographs; this template does not supply product photography or verify rights to an image.

  • Brand and contact: tell the buyer who is selling and where to send the order.
  • Product name and SKU: use the same reference your office uses.
  • Wholesale price: distinguish unit price from pack price and state the currency.
  • Variants: list colors and sizes for apparel, or the relevant volume, finish or scent for other collections.
  • Ordering rules: say whether the minimum applies per style, color, size or complete pack.
  • Availability and terms: confirm stock, payment, freight and delivery separately rather than promising what has not been checked.

A line sheet example with clear pack pricing.

Here is a fictional apparel example. Replace these details with your own products; these are not SHOWROOM4K products for sale.

StyleProduct / variantsUnit wholesaleMinimumPack total
TEE-101Everyday tee · Navy · S–XLUSD 206 units · 1/2/2/1USD 120
TOTE-201Canvas tote · Natural · One sizeUSD 126 units per colorUSD 72

The tee’s six-unit pack contains one small, two medium, two large and one extra-large. At USD 20 per piece, one pack is USD 120 before separately confirmed freight and tax. The price field should not leave the buyer guessing whether “20” means one piece or the full pack.

For more examples, read the guide to minimum order quantities and prepacks.

A line sheet is not the same as a lookbook—or an order system.

A lookbook tells the visual story of a collection. A line sheet explains the products a retailer can buy. A PDF line sheet is a static reference: after you change a price or delivery date, an older downloaded copy does not update.

This free tool helps you make that reference without an account. It does not synchronize stock, calculate taxes, collect payment or submit an order. For an online collection connected to buyer ordering and your brand dashboard, explore SHOWROOM4K’s digital line sheets.

Common questions

Is this line sheet template really free?

Yes. You can edit and print the template without a login, email signup or payment. The paid SHOWROOM4K brand workspace is a separate product.

How do I download the PDF?

Complete the brand, contact and required product fields, then choose Print / save PDF. In browsers that support PDF printing, select Save as PDF in the print dialog. Review the pages, choose a file name and save. This is browser printing, not an automatic download.

Does the template save my work?

No. Your edits and selected photos remain in this tab’s memory. They are not uploaded to a SHOWROOM4K account or saved for later. Print or save your PDF before refreshing or closing the tab.

Can I use it for products other than clothing?

Yes. Replace sizes and colors with the variants your buyers need, such as finish, capacity or scent. Add category-specific information and confirm any required product disclosures separately.

How many products can I include?

Up to twelve products per sheet. Keep names and terms concise, use clear photos and check the print preview for page breaks before sending it.
